One of the overall goals of the Freshwater Center and AQUA is to maintain the highest level of security for our guests, customers and employees – this also applies when it comes to the protection of personal data.
With this policy, the Freshwater Center and AQUA wish to map out in a clear and understandable manner how the Freshwater Center and AQUA handle your personal data.
The Freshwater Centre operates a number of different business areas, including hotel and conference services (Gl. Skovridergaard Hotel and Conference Centre and Vejlsøhus Hotel and Conference Centre), course services and rental of business premises. AQUA operates a freshwater aquarium and animal park. Both the Freshwater Centre and AQUA are data controllers.

The Freshwater Center and AQUA carry out all handling of personal data in accordance with applicable legislation.
The Freshwater Center and AQUA have adapted relevant processes and systems according to the new EU regulations for the processing of personal data (GDPR).
The Freshwater Center and AQUA enter into agreements with guests, customers and suppliers regarding the delivery – purchase and sale – of various services and products.
When a guest/customer orders and purchases one or more of the Freshwater Center's and AQUA's services or goods, and as part of this provides their personal information to the Freshwater Center or AQUA, they simultaneously give their consent that the guest/customer/supplier's personal information can be processed by the Freshwater Center and/or AQUA.
The same applies to any personal data that suppliers to the Freshwater Center and AQUA provide to the Freshwater Center or AQUA in connection with submitting offers or entering into agreements with the Freshwater Center or AQUA.

3. What information does the Freshwater Center and AQUA collect?
The Freshwater Centre and AQUA collect, among other things, the following personal information:
You can, at your own discretion, choose to provide the Freshwater Center or AQUA with personal information in addition to the general personal information that you consider may be important either for security reasons and/or to give the Freshwater Center or AQUA the opportunity to tailor the service specifically for you.

If you voluntarily and of your own free will choose to do this, the Freshwater Center and AQUA also consider it as consent to be able to register and store this sensitive information on your profile.
In addition to receiving information from you, the Freshwater Center and AQUA will in some cases supplement our information with information that we have received from third parties, such as a group manager, an employee of the company where the data subject is employed or a business partner.
In these cases, the third party is required to inform the guests involved about the Freshwater Center's and AQUA's terms and conditions as well as this personal data policy. The third party is also required to ensure that the necessary consents are obtained for the registration and processing of any sensitive information.
The Freshwater Center and AQUA use the Danish Internet Payment System (DIBS www.dibs.dk), in connection with your purchases of goods/services and paying by credit card. Both DIBS, the Fresh Water Centre and AQUA are approved and certified by the Danish Banks' Payment System (www.pbs.dk).
When ordering and booking, the Freshwater Center and AQUA store the information you have provided for up to 5 months, after which the information is deleted.
In addition to completing the order itself, the information provided is only used if a guest/customer/supplier, for example, contacts us with questions or if there is an error in the order.
The Freshwater Center and AQUA only collect personal data that is necessary for the purpose described in the separate terms and conditions for the services in question and in this personal data policy.
It is the content of the individual agreement/the nature of the service that determines which personal data the Freshwater Center and AQUA collect as well as the purpose of the collection.
The Freshwater Center's or AQUA's purpose for collecting personal data may be one or more of the following:
Below is an explanation of the legal basis on which the Freshwater Center and AQUA base the processing of your personal data:
The Freshwater Center and AQUA may, for example, process your personal data because it is necessary to fulfill a contract to which you are a party. This may, for example, be in connection with attraction visits, hotel stays, meeting arrangements, participation in teaching or training courses, entering into a rental agreement and/or cooperation and supplier agreements.
Likewise, the Freshwater Center and AQUA may process your personal data in order to carry out certain actions and/or preparations at your request prior to entering into a contract.
The processing may also take place so that the Freshwater Center and AQUA can pursue a legitimate/objective interest, unless your interest takes precedence over this.
Legitimate interests pursued by the Freshwater Center and AQUA include statistics, customer surveys, interest-based marketing and analysis of general user behavior, with the aim of improving your benefits, your experience and the quality of the Freshwater Center's and AQUA's services.
If you inform the Freshwater Center or AQUA about special preferences and considerations, such as health information, disability, religious beliefs or similar, the Freshwater Center and AQUA will use the information to adapt the service in question to your instructions and your stay at the Freshwater Center and AQUA in general.
In some cases, the Freshwater Center and AQUA will receive personal data from third parties, for example in connection with a group reservation and/or an individual overnight stay made by a third party – for example, by an assistant or similar. In these cases, the person responsible for the group and/or the reservation is required to inform the guests involved about the Freshwater Center's and AQUA's terms and conditions and this personal data policy.
Processing of your personal data is further required by law for the Freshwater Center and AQUA. This is, for example, the case in connection with guest registration at check-in, where the legislation states which personal data the Freshwater Center and AQUA are required to register.

However, access may be limited for reasons of privacy protection of other persons, trade secrets and intellectual property rights.
By written request to the Freshwater Center or AQUA, you can either receive a printout of your personal data, have your personal data updated, raise objections or request that your personal data be deleted.
The request must be signed by you and include your name, address, telephone number, and email address.
You can also contact the Freshwater Center or AQUA if you believe that your personal data is being processed in violation of the law or other legal obligations.

The Freshwater Center or AQUA will, as far as possible, within 1 month of receiving your request for a printout, send it to your postal/email address.
When requesting corrections and/or deletion of your personal data, the Freshwater Center or AQUA will check whether the conditions are met and, if so, will implement changes or deletion as soon as possible.
The Freshwater Center and AQUA may reject requests that are either unreasonably repetitive, require disproportionate technical intervention (for example, developing a new system or significantly changing an existing practice), affect the protection of the personal information of others, or in situations where the requested action must be considered extremely complicated (for example, requests for information that exists only as backup copies).
When you apply for a position at the Freshwater Center or AQUA, the information that you have provided to the Freshwater Center or AQUA in connection with your application is processed.
This will typically involve general personal information such as name, address, telephone number and email address, information about educational background and information about current and previous employment, including your CV.
In connection with the recruitment process for selected positions, the Freshwater Center or AQUA may ask candidates to complete a personality test. The results of this will be processed by the relevant department head and his/her manager.
The Freshwater Center and AQUA use the information to assess whether the Freshwater Center or AQUA wishes to offer you employment, and to communicate with you in connection with the recruitment process.
Your information is stored, among other things, in the Freshwater Center and AQUA personnel archive (electronically).
Only relevant managers, Accounting (payroll administration) and IT administrators have access to your information with personal passwords.
If you are employed by the Freshwater Center or AQUA, your information will be stored in accordance with the Freshwater Center and AQUA personal data policy for employees, which you can find on the Freshwater Center and AQUA intranet (Bølgen).
Applications from candidates who are not hired are generally stored for 6 months after the rejection. The Freshwater Center or AQUA obtains consent from the applicant to store the application in the personnel archive.
The Freshwater Center and AQUA may in certain cases also disclose your personal information if required by law, a court decision or applicable legislation.
The Freshwater Center and AQUA protect your personal data in accordance with the measures described in section 7 of this personal data policy.
If you would like access to the information that Ferskvandscentret or AQUA processes about you, either in connection with updating your information, or because you want Ferskvandscentret or AQUA to delete your information, you can contact Ferskvandscentret's Accounting Department via email. lp@fvc.dk or via telephone 89 21 21 02.
You may object at any time to the fact that information about you is subject to further processing.
The Freshwater Center and AQUA protect your personal data and have adopted internal rules on information security, which contain instructions and measures that protect your personal data from unauthorized disclosure and from unauthorized access or knowledge of it.
The Freshwater Center and AQUA have established procedures for granting access rights to those of our employees who process sensitive personal data and data that reveals information about personal interests and habits.
The Freshwater Center and AQUA control their actual access through logging and supervision.
To avoid data loss, the Freshwater Center and AQUA regularly back up our datasets.
In the event of a security breach that results in a high risk to you of discrimination, ID theft, financial loss, loss of reputation or other significant disadvantage, the Freshwater Center or AQUA will notify you of the security breach as soon as possible.
The Freshwater Center's and AQUA's safety procedures are continuously reviewed based on the latest technological developments.
In addition to the Freshwater Center's and AQUA's internal systems, the Freshwater Center and AQUA use external suppliers of IT services, IT systems, payment solutions, etc.
In order to fulfill agreements and provide the highest level of service, the Freshwater Center and AQUA share selected personal information, among other things, at your request with external suppliers such as restaurants, hotels, etc.
The Freshwater Center and AQUA also share and pass on your personal information internally. The purpose of this is to be able to provide the most optimal service to you, regardless of which business area you are addressing.
The Freshwater Center and AQUA may in certain cases also be obliged to disclose personal data in accordance with legislation or following a decision from a public authority.
The Freshwater Center and AQUA delete your personal data when the Freshwater Center or AQUA is no longer required by law to store the information, or when there is no longer a purpose for the processing.
The Freshwater Center and AQUA use cookies for the digital services.
